Background

A portfolio of brands, a tangle of PO processes.

The client — a Fortune 500 US fashion retail group operating multiple national brands including Ann Taylor, LOFT, Talbots and Lane Bryant — had embarked on a strategic initiative called S5 Stratos to modernise and standardise assortment, planning and buying across its portfolio.

A core gap in the modernisation roadmap was Purchase Order creation. Each brand operated its own PO process: some relied on the legacy SAP PO Workbench, others had customised workflows that existed outside the PLM ecosystem entirely. With S5 Stratos bringing a new assortment platform into the picture, leadership saw a strategic opportunity to consolidate PO ownership into BambooRose — making it the single system of record for the end-to-end buying and sourcing process.

The Challenge: determine whether this consolidation was feasible within the S5 go-live timeline, define the full scope of design and integration work, and align four brands with distinct processes and system dependencies onto a single enterprise solution.

The objective was clear: move all brands to BambooRose for PO creation at the time of each brand's S5 Stratos implementation — or establish a phased path where premium brands transitioned in a structured sequence. Either way, the fragmented status quo was no longer acceptable.

Key challenges at the outset

Brand-by-brand PO processes with no common standard
Legacy SAP PO Workbench deeply embedded in some brands
Complex integration landscape across PLM, ERP, S5 Stratos and sourcing systems
Tight S5 go-live timeline with limited design runway
Existing PO automation at Ann Taylor / LOFT to be preserved

Our Approach

Structured discovery before a single line of design.

The client brought ThoughtInks into a structured 8-week discovery and analysis engagement, embedding us directly with their business and technology teams across all four brands. That access — sustained over nearly two months of working sessions — let us surface every assumption, dependency and constraint before committing to a design approach, rather than jumping straight to a solution.

Solution scope

What the BambooRose PO Builder needed to do.

The discovery work defined the full capability scope that the consolidated PO Builder would need to deliver across all KnitWell brands.

S5 Stratos Integration

Receive style, colour, size and location-level buy quantities from S5 Stratos and automatically trigger PO generation in BambooRose — eliminating manual data re-entry between systems.

PLM Data Consumption

Pull product placeholder data from the PLM system — cost, attribution, sourcing route and transportation details — to pre-populate PO fields and reduce buyer effort.

PO Automation Continuity

Preserve the PO automation already in place at Ann Taylor and LOFT, ensuring no regression in efficiency for brands that had already invested in streamlined buying workflows.

Merchant & Vendor Approvals

Structured approval workflows for merchant sign-off and vendor confirmation within BambooRose, with clear routing rules across brands.

PO Maintenance & Close

Full lifecycle PO management: amendments, quantity changes, cancellations and PO close — all within BambooRose, with downstream ERP synchronisation.

All Buying Channels & Categories

Scope to cover all purchase types: wholesale, merchant-managed, third-party buys, cross-brand styles and all product categories including non-apparel and licensed goods.

ERP Outbound Integration

Confirmed POs flow from BambooRose back to SAP and other downstream systems, maintaining financial and operational integrity across the enterprise.

Reporting & Analytics

PO status dashboards and data exports to support buying, sourcing and supply chain teams with the visibility they need to manage the order book effectively.

Multi-Brand Configuration

Configurable business rules and brand-specific settings so Ann Taylor, LOFT, Talbots and Lane Bryant can each operate within their own workflows while sharing a common platform.

Business impact

From fragmented processes to one unified buying platform.

The discovery engagement gave the client the clarity and confidence to move forward with BambooRose as the enterprise PO system of record.
